Write down when the packaged freight will actually be ready for pickup and when it must be received. A production completion time is not necessarily a pickup-ready time: inspection, packing and paperwork may still need to happen.

Ask the requester what the deadline represents. Is it the start of an installation, an inventory shortage or a receiving appointment? That context helps the team distinguish a firm cutoff from a preferred arrival time without guessing.

Confirm the service, not just the label

Expedited services can involve dedicated vehicles or other priority transportation arrangements. Transit possibilities depend on the route and the service offered. Ask whether the proposed move is direct, whether transfers are involved, and what pickup and delivery commitments are actually being accepted.

Do not interpret 'expedited' as an automatic same-day or next-day guarantee. Keep the confirmed service details in writing and make sure the equipment can accommodate the packaged freight and both facilities.

Prepare one complete urgent-shipment brief

  • Ready time and delivery deadline, each with a time zone.

Agree on communication before dispatch
